Client Project Coordinator – Churches & Nonprofit Organizations

Remote · Mexico Full-time

Nonprofit Fundraising Management (NFM) “Let’s Make A Difference Together!” Nonprofit Fundraising Management (NFM) partners with African American churches, nonprofits, and mission-driven organizations to strengthen fundraising, donor engagement, and operational systems. We are seeking a high-initiative, operationally detailed Client Project Coordinator to manage a dedicated portfolio of 3 to 4 active clients. This is a unique, high-ownership hybrid role that blends project coordination, client success, operations, written communication, and relationship management. While this role involves ownership and accountability, we operate as a fully remote, freelance-friendly team with a flexible and collaborative approach to work. This role is a great fit for self-motivated candidates who thrive in mission-driven environments that value both strong relationships and dependable follow-through. Compensation & Logistics

  • Pay Rate: $30.00 per hour
  • Job Type: Part-Time Contract (25–30 hours per week)
  • Location: 100% Remote (Must be available during US business hours)
  • Schedule Note: Some client meetings occur in the evenings to accommodate church volunteer and ministry schedules.

What Success Looks Like in This Role

  • Proactive Ownership: You don’t wait for task-by-task direction. You look ahead at the calendar, anticipate what your 3 to 4 clients need next, and independently build the structure to get it done.
  • Maintaining Momentum: You help maintain accountability and momentum across projects through thoughtful, proactive communication.
  • Balancing the Hybrid Rhythm: You can easily pivot from deep, relationship-centered client conversations to organized operational follow-through, detailed note-taking, and error-free email correspondence.
  • Thriving in Agility: You comfortably adapt your approach across different client personalities, shifting priorities, and the collaborative and evolving environment of a growing company.

The Core Pillars of the Role 1. Meeting Facilitation, Continuity & Calendar Logistics (40% of the role)

  • Focused Portfolio Management: Maintain operational tracking, timeline execution, and communication continuity for 3 to 4 dedicated active clients.
  • Targeted Calendar Coordination: Handle precise scheduling via Google Calendar (including executing a deep-dive onboarding interview schedule of 30+ interviews when a new client occasionally launches).
  • Agenda Prep & Follow-up: Craft streamlined, error-free meeting agendas and proactive reminders regarding outstanding deliverables.
  • Live Facilitation & Meticulous Notes: Coordinate conversation flow during recurring client meetings while our CEO handles high-level strategy. Capture detailed, highly accurate action items and key decisions.
  • Rapid Turnaround: Finalize meeting recaps internally by the following morning and deliver them to clients within 24–48 hours using the Eisenhower Matrix framework.

2. Project Coordination & Roadmap Management (30% of the role)

  • Timeline Oversight: Maintain and execute year-long fundraising and operational client roadmaps inside Asana or ClickUp.
  • Proactive Adjustments: Shift project deadlines proactively around ministry seasons, holidays, and fundraising cycles.
  • Accountability Tracking: Conduct thoughtful, proactive follow-up with clients and internal team members to help ensure milestones continue moving forward.

3. Written Communications, Storytelling & Grant Admin (30% of the role)

  • Ghostwriting & Newsletters: Conduct interviews with donors, volunteers, and ministry leaders to draft monthly print mailers and digital newsletters. You will write in the pastor’s unique voice, capturing human-interest stories and ministry impacts.
  • AI Collaboration: Thoughtfully utilize AI tools to brainstorm, outline, and improve writing efficiency while maintaining a deeply personalized, authentic human voice. (Note: No video or audio production is required).
  • Annual Reports: Coordinate timelines with graphic designers for annual reports, gather photos, and keep production milestones moving forward.
  • Grant Administrative Support: Track inbound grant opportunities sent by clients, research basic alignment, maintain tracking spreadsheets, and log deadlines. (Note: You are not responsible for writing grants).

This Role Is NOT a Good Fit If:

  • You prefer a highly structured role with daily task-by-task direction.
  • You struggle to keep projects moving forward without a highly structured, rigid corporate environment.
  • You find it stressful to balance writing copy with managing spreadsheets and calendars.
  • You are uncomfortable or unfamiliar with working closely alongside Christian churches, faith leaders, and ministry schedules.

Preferred Qualifications

  • Strong background in project coordination, client success, executive administrative support, or operations.
  • Strong comfort with Google Workspace (Calendar, Docs, Sheets) and project tracking software such as Asana or ClickUp.
  • Exceptional written communication skills with a proven ability to adapt tone and voice.

To Apply Please submit:

  • Your current resume.
  • A short professional writing sample (such as a previous newsletter, blog post, or a professional meeting summary recap).

  • Paid time off
  • Professional development assistance
