Responsibilities

  • Coordinate all aspects of real estate transactions from contract to closing, including managing deadlines, document preparation, and communication with clients, agents, lenders, and escrow officers.
  • Utilize transaction management software and tools to track progress, ensure compliance, and facilitate smooth closings.
  • Provide comprehensive executive administrative support by managing calendars, scheduling appointments, coordinating meetings, and handling correspondence with professionalism.
  • Assist with event planning for client open houses, client tours, and community events to promote engagement and success.
  • Manage office operations remotely by overseeing filing systems, data entry, bookkeeping using QuickBooks, and maintaining organized digital records.
  • Handle phone etiquette with clients and vendors while providing exceptional customer service via multi-line phone systems and email communication.
  • Prepare proofreading, transcription, and documentation tasks using Microsoft Office Suite and Google Workspace to ensure accuracy and clarity in all communications.

Experience

  • Proven experience as an executive assistant or administrative professional within a real estate or related industry.
  • Demonstrated ability to coordinate projects efficiently while managing multiple priorities in a remote setting.
  • Strong proficiency with office management tools such as Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), QuickBooks for bookkeeping, and DocuSign for electronic signatures.
  • Familiarity with real estate transaction processes including contracts, disclosures, and escrow procedures.
  • Excellent organizational skills combined with attention to detail for proofreading, data entry, filing systems, and clerical tasks.
  • Exceptional communication skills with a focus on phone etiquette and customer service excellence.
  • Experience handling calendar management through Microsoft Outlook Calendar or similar platforms alongside multi-line phone systems.
