Philanthropy Assistant, Major Gifts

The Assistant provides administrative support to two or more fundraisers on Major Gifts which raises funds from individuals, families, and family foundations for priorities in research and care across Dana-Farber. This role includes data entry, drafting and managing correspondence, calendar, processing gifts, making travel arrangements, and appointments, and provides event support as appropriate, in addition to other administrative duties as assigned. The ability to multitask with a high degree of attention to detail is required. Responsible for assisting the entire Division with reaching financial goals. The onboarding of this role will include a comprehensive training process which includes completion of online modules, shadowing colleagues, as well as hands-on learning experiences throughout the first calendar year in the role. This position's work location is fully remote with occasional time on-campus in Brookline, MA. The selected candidate may only work remotely from a New England state (ME, VT, NH, MA, CT, RI). Primary Duties and Responsibilities:

  • Administrative Support: Assist with day-to-day administrative tasks, including but not limited to, managing calendars, scheduling meetings, travel arrangements, mail management, and preparing meeting materials.
  • Data Management: Maintain and update organizational and management systems and databases, ensuring accuracy and confidentiality of information. Assist in generating reports as needed.
  • Communication: Prepare and edit correspondence, documents, reports, and presentations. Provide timely email and phone communication with internal and external stakeholders.
  • Financial Support: May include, but not limited to, P-card review and reconciliation, expense reimbursement processing.  May assist with preparing donor acknowledgement and correspondence.
  • Event Support: May contribute to the logistical planning and execution of meetings, events and programs.
  • Collaboration: May collaborate with colleagues on team-wide or Division-wide ad-hoc projects and initiatives.
  • Other duties as assigned.

Knowledge, Skills and Abilities:

  • Communication: Good written and verbal communication skills.
  • Customer Service Orientation: Customer service skills and the ability to interact professionally with peers, leadership, donors and external contacts.
  • Organization: Ability to organize, prioritize, and follow-through on a variety of projects under the close supervision of a manager. Good attention to detail with ability to perform and complete tasks with accuracy.
  • Problem-Solving: Must possess the ability to identify issues and proactively work to resolve problems.
  • Confidentiality: Ability to maintain discretion and handle confidential information with care.
  • Computer Literacy: Basic knowledge of Microsoft Office Suite.

May require event support, local travel, and occasional weekend and night work required. May require light lifting for event set-up. Pay Transparency Statement The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications. For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA). $53,500.00 - $58,200.00
